Sylvia Santé Inc. ("Sylvia", "we") builds AI software for healthcare clinics and clinicians. Protecting health information is the core of what we do. This policy explains what we collect, how we host and protect it, and the rights you have under Quebec's Law 25 and Canada's PIPEDA.
Who this policy covers
It applies to visitors to this website, clinicians and clinic staff who use our products, and the patients whose information is processed through a clinic that uses Sylvia.
When a clinic uses Sylvia to process patient information, the clinic is the party responsible for that information and Sylvia acts as its service provider, processing it only on the clinic's instructions.
Information we collect
Website and account data: information you give us directly — name, clinic, email, phone and message — when you book a demo, book a discovery call or contact us, plus standard analytics about how the site is used.
Clinical data processed on a clinic's behalf: pre-consultation questionnaire responses, transcriptions and the clinical notes generated from them, handled strictly under the clinic's direction and used only to provide the service to that clinic.
How we use information
To provide, secure and improve the service, to respond to your requests, and to meet our legal and regulatory obligations.
We do not sell personal information, and we do not use patient data to train our AI models.
Where your data lives
Personal and health information processed through Sylvia is hosted in Canada. Audio captured by the Scribe product is processed on-device wherever the product allows.
Access is restricted to authorized personnel under confidentiality obligations, with encryption in transit and at rest.
Sharing and service providers
We share information only with service providers who help us operate the platform, under contracts that require equivalent protection, and when required by law.
Retention
We keep personal information only as long as needed for the purposes above or as required by law, after which it is securely deleted or anonymized. Clinical data is retained according to the agreement with each clinic.
Your rights
Under Law 25 and PIPEDA you may access, correct, or ask us to delete your personal information, and withdraw consent where applicable. Patients should contact their clinic for information held on the clinic's behalf.
